How can I obtain an apostille in Florida?

An Apostille is a special certificate, issued by the Secretary of State, certifying that a document is legitimate and authentic.

Countries that are members of the Hague Apostille Convention will normally require all original documents to be apostilled in order to be valid abroad.


In the United States, each individual state issues its own apostilles completed by the Secretary of State of that individual state. A state will only be able to complete the apostille if the document was issued from that specific state. Therefore, a birth certificate from California, for instance, must be apostilled by the Secretary of State of California.


If the document is issued by a federal agency, it must be submitted to the United States Federal Department of State in Washington, D.C.. Common federal documents are FBI criminal background checks, federal court documents, consular documentation, immigration documentation.


If the original document is in English, you should consider obtaining a certified and notarized translation and an apostille of the translation. This will ensure that officials abroad are able to accept and understand the documents. You are able to request a certified, notarize and apostilled translation with Florida Translate. You must determine if your document is state or federal document in order to avoid rejections and delays in your process.


State Documents:

  • Birth or Death Certificates

  • Documents issued by state or local courts
  • Academic Transcripts (Public or Private Schools)

Federal Documents:


  • Documents signed by federal official of the United States
  • Documents signed by official consulate of the United States
  • Documents notarized by a military notary, or a foreign diplomatic consul officer registered with the US Department of State.
  • Documents issued by the Federal Department of Justice (DOJ) (Common Examples:)
  • FBI Background Check
  • Bankruptcy Court Documents
  • Verification of federal court documents
  • Immigration Certification (Issued by the US Department of Homeland Security - Homeland Security)

Document Translations

Most countries will require that all documentation is translated to the local language. For this process, you will require a certified translation that is notarized and apostilled by the Department of State. You can get request a certified and notarized translation with Florida Translate here.

How to obtain an Apostille in Florida:

You can apostille your documents through an apostille agency or you can do it yourself. You are able to submit your apostille request here. Mailed in requests with the state take 4-5 weeks to process. We recommend that you do the process with an apostille agency to expedite this process.   • By Mail (Department of State | 4-5 weeks. (Estimated Cost $65)

    You may choose this method to send everything directly to the state via mail. 


    The estimated cost is $65 and turnaround time is generally 4 weeks but you can see current times here


    You will need the following to apostille your documents in Florida:


    1. Original document to apostille.  If it is a notarized document, you must have a full notarial statement and you must send the original docuemnt signed by the notary and the individual. If it's an original document issued by the state then you only need to send the original document. If it's issued by the court, it must have a certified copy seal. 


    2. Fill out and print this application.


    3. Incude a $10 check or money order for each apostille. (If it is a court issued document, it's $20 per apostille). You can issue the check to "Florida Deparment of State" 


    4. Obtain 2 envelopes. We recommend that it be shipped USPS Priority Service to avoid shipping delays and to allow you to track the documents.

    The first envelope will be sent to the following address:

    Tallahassee, FL 32314-6800


    The second envelope  will be the return envelope in order for the apostilles to be returned to you. This should include your address. 


    The return envelope must have the necessary stamps and everything must be prepaid. It is recommend that the shipping and return address is your address to ensure that it reaches you without problems. You can check with your local post office to have the return envelope prepaid.


    In summary, the package that you are going to send must have: (1) the original document to apostille, (2) the application, (3) the payment, and (4) the envelope paid and addressed to you.


    The estimated cost is $65 with shipping but this may vay depending on the shipping options selected.

    If you need to have the original document apostilled, Florida Translate will provide you with a pre-paid UPS label to send the documents. All you have to do is drop off the original document with the label we will send you. Florida Translate will take care of the rest of the process. 

Once you have sent the documents for apostille:

If you completed the process with Florida Translate, everything should be completed within 72 business hours.


For requests submitted to the state directly, you will need to wait 4-5 weeks to receive the documents back. You can see the current processing times for the state here.


If you do not receive your documents and they have already processed the apostilles for the date you sent, you can contact the Department of State to confirm the status of the documents.


If you need your documents before 4 weeks, we highly recommend obtain the apostille process here. The other alternative would be to physically visit the Department of State offices in Tallahassee. 


When your apostille arrives, you will have what you need to continue with your process at the embassy, consulate or country.     A page is a single sided document containing no more than 250 words. Should a page exceed this criteria, it would be subject to the cost of an additional page or $0.10 per word. 

  • Do I need to notarize documents?

    You can view our certification/shipping guide here to view if you require a notarization or a specific certification type. 


    We recommend adding notarization if you will submit your documents to:

    -United States Department of State (Passports)

    -Local, State, or Federal Court

    -Academic Instituions

    -Credential Evaluation Services

    -Apostille or Foreign Government Process


    You do not need a notarization for Immigration purposes with the United State Citizenship and Immigration Services (USCIS).

  • How long do the documents take to be translated?
